Your role

 

The RWE Renewables (RWER) Japanese team are expanding and looking for entrepreneurial individuals with a growth mindset to join a fast expanding team in a dynamic environment, as part of a larger global organisation.
The Personal Assistant is part of the offshore wind development team of the local subsidiary in Japan. The position provides support to the Senior Management roles in Japan.

 

Your future plans

  • Administration of calendars, scheduling and prioritizing appointments
  • travel management, making travel arrangements for international and domestic travel
  • Plan, coordinate and preparation internal and external meetings, workshops and related events including telephone and video conference,
  • Ad-hoc administration duties such as taking minutes and action lists (including follow ups), producing presentations, spread sheets, reports etc.
  • Handling and budget control of orders/invoices/payments/holiday authorization
  • Manage special tasks including project management, budget planning and cost management
  • Prepare and coordinate meeting briefs
  • Complete reimbursement requests, compiling and copying data to submit to accounts payable audit tracking
  • Prepare presentations, speaker notes, analysis, dashboards, reports and other materials as needed
  • Setup and maintain key documents using Word, Excel, Power Point, OneNote and Outlook
  • Provide administration and PA support to key projects and procurement processes (SAP purchase requisitions, workflow and follow ups)
  • Acting as the key point of contact for internal and external stakeholders, external suppliers, and colleagues across the RWE Group
  • Interface and liaise at all levels, including Board members, Director’s, Manager’s and PA’s from the Global business, external organizations and customers

 

Your profile

  • Fluency in speaking and writing English and Japanese mandatory
  • Minimum 5 years professional experience as Personal Assistant in an Executive / C-level Office, preferably in an international environment
  • Outstanding verbal and written communication skill, ability to interact with senior level executive and all levels of the organization plus good numerical skills
  • Highly developed personal organization skills encompassing a high degree of accuracy and confidentiality and good attention to detail
  • Ability to develop a good level understanding of major business processes in order to comprehensively understand and act upon tasks and contribute to the team’s effectiveness as a full member of the Commercial Analysis Team
  • Proven ability to exercise good judgment in a variety of situations and maintain confidentiality & discretion, diplomacy and tact at all times
  • Reliable, structured and target-oriented work approach with the ability to work independently and track tasks and processes to success
  • Pronounced service-oriented skills, flexibility and ability to cope with short-notice changes and time pressure
  • Excellent administrative and office support skills with attention to detail and the ability to prioritize and effectively manage multiple tasks seamlessly
  • Excellent use of Word, Excel, Sharepoint, MS Teams, One Note and equivalent and PowerPoint and preferably (RWE) SAP finance systems including processing of purchase orders, invoices and accruals
  • Energy, drive and enthusiasm and experience in working under pressure and to tight deadlines at times
  • Bachelor’s degree or equivalent combination of education and relevant work experience
  • Fluent command of English, both written and spoken
