As a Personal Assistant (d/f/m) to the Head of Operations Offshore Continental Europe and Team Assistant to the Continental Europe Operations Team, you are part of a diverse team and responsible for the office organization and communication. You will use your effective communication skills to support and organize the management and the department in an optimal way.

 

About the role

  • You take over the independent organization of the secretariat of the Head of Operations Europe Continental Europe (e.g. calendar and inbox management).
  • Planning, organization and coordination are important tasks of your daily job. This refers not only to internal and external meetings, workshops including telephone and video conferences but also to international and national trips and board meetings.
  • Moreover, you handle travel expenses, ordering of equipment (e.g. IT / PPE) and take care of invoices and purchase requisitions in SAP.
  • You actively support the creation of presentations and decision templates in English and German on the basis of information provided by the teams and are responsible for quality assurance.
  • You can demonstrate your project management skills on smaller projects, conduct assistance for the project and process invoices/payments.
  • You support the Head of Offshore Operations Continental Europe and the team with ad hoc tasks and projects as required.

 

Job requirements and experience

  • Your portfolio showcases a completed commercial apprenticeship coupled with a substantial history of professional engagement in assistance and project management roles, with experience in global settings being an added advantage.
  • Moreover, you bring very good administrative and office support skills to the table and are able to prioritize and manage multiple tasks seamlessly and effectively.
  • You have extensive verbal and written communication skills. This also means that you have the ability to interact with leaders at all levels of the organization.
  • Besides that, you score points with your organizational skills with a high level of attention to detail as well as advanced working knowledge of MS Office and SAP.
  • You can describe yourself as flexible and are able to deal with short notice changes in a time-sensitive setting. Moreover, you have very good interpersonal skills, good judgment, sense of confidentiality & discretion, diplomacy and tactfulness.
  • You are fluent in both English and German.
