The Receptionist will be responsible for a full range of day-to-day administrative office functions for the Chicago Facilities department. This position will serve as the first point of contact at the reception desk for RWE employees and vendors, answering phone calls, disseminating communications, receiving and sending mail, supporting the maintenance of the office facility, fulfilling a variety of requests, and assisting with event planning.

 

Responsibilities:

  • Greet visitors and manage the front desk experience for clients and employees
  • Direct visitors to the appropriate person
  • Schedule visitors as requested with building security
  • Answer phones, receive voicemails, and take accurate messages
  • Work closely with Porters to ensure office cleanliness with particular attention to the reception area and vicinity
  • Order reception area supplies and keep stock of inventory
  • Handle general facilities upkeep
  • Support vendor management of supplies
  • Prepare conference rooms for meetings and events
  • Place and receive catering orders
  • Complete special assignments as assigned
  • Support the Office Manager with planning, scheduling, and execution of duties as applicable
  • Build relationships with internal and external customers and stakeholders
  • Coordinate multiple priorities and produce accurate work despite frequent interruptions

 

Qualifications:

  • College degree not required; experience preferred
  • Minimum of 2 years experience in a similar role required 
  • Demonstrated experience in a customer-facing role
  • Strong interpersonal skills, with the ability to manage customer relationships
  • Knowledge of PC equipment and basic software (Word, Excel, PowerPoint, Outlook, etc.)
  • Is detail-oriented with the ability to focus on all areas of a project or task, reviewing work for quality
  • Motivated self-starter, goal-oriented, and strong problem-solving abilities
  • Strong leadership and communication, and ability to meet deadlines
  • Ability to push/pull/lift boxes and equipment weighing up to 50 lbs.
  • Knowledge of environmental and safety policies and procedures
  • Ability to work within tight deadlines
  • Ability to work independently and as part of a team  
  • Demonstrated desire to learn about the Company and the renewables space
  • Proven ability to empathize, build relationships, and effectively communicate with people from a diverse set of backgrounds
  • Responds well to direction, is easy to challenge and develop, and is coachable
  • This position is an office-based role
  • Must be able to sit for long durations of time
