The Administrative/Project Assistant provides administrative support to our Head of RWE Offshore Development, East and as needed to our Head of Development Services. The assistant handles details of a highly confidential and critical nature. This person will schedule meetings, maintain calendars, organize the meetings and collect and prepare information for use in discussions/meetings of staff and with outside consultants or guests. This person may be asked to support presentation materials for meetings. The assistant is also responsible for the travel planning and expense reports.

 

Responsibilities/Tasks:

  • Planning, organization and coordination of internal and external meetings, workshops including telephone and video conferences as well as international and domestic travel, including downstream travel expense reporting
  • Ongoing close collaboration & preparation of projects, presentations, spreadsheet and reports
  • Preparation of meeting documents as well as minutes or follow-up of required feedback including deadline control
  • Capable to manage SAP /procurement workflows for 3rd party engagements, PO creation, controls, approval & verification within the team
  • Act as liaison between internal and external contacts
  • Support Head of Development Services in managing internal project coordination
  • Meeting facilitation, timekeeping prepare meeting minutes, notes and action logs
  • Action log follow up: collect actions and follow up on various monthly recurring demands and actions
  • Monitor Activity / Ensure Completion of Development Workflows – Monthly and Quarterly reporting

 

Work Experience Requirements:

  • 3 to 5 years of high-level administrative support preferably from multi-cultural or international environments
  • Advanced organizational, written and verbal communication skills
  • Ability to coordinate tasks and meetings, including comprehensive follow up and organizational skills with a high attention to detail
  • Great people management skills, including patience and persistence
  • Proven demonstration of analytical and problem-solving skills with the ability to be focused and deal with short notice changes in a time-sensitive situation
  • Advanced knowledge of Travel & Scheduling software, Concur, Microsoft Office products including Word, Excel, PowerPoint, Outlook, One Note and SharePoint.
  • Previous experience with SAP or other enterprise level accounting and procurement software

  • Ability to work effectively and proactively on high level tasks and ability to demonstrate high standard of accuracy

  • Advanced organizational skills and ability to prioritize various tasks in a forward-thinking, innovative environments
