Your future plans
As a Team Assistant in Cyber Security, you'll serve as a pivotal support figure for various teams and their managers within the department. Your core responsibility will involve ensuring seamless operations by providing administrative and organisational assistance. You'll collaborate closely with team members and managers to streamline communication, coordinate schedules, and aid in various tasks, ultimately optimising team efficiency and efficacy.

 

  • Proactively manage calendars, arrange meetings, handle travel arrangements and manage incoming communications, ensuring smooth coordination
  • Coordinate meeting logistics, including agenda preparation, material distribution and minute-taking as needed
  • Follow up on action items and deadlines stemming from meetings, ensuring prompt completion and accountability among team members
  • Offer administrative support for ongoing projects within the cyber security department, tracking milestones, updating project schedules and managing documentation
  • Undertake miscellaneous tasks and special projects assigned by team managers, exhibiting adaptability and a proactive attitude towards achieving team objectives
  • Assist in budget control tasks, including monitoring expenditures, reconciling accounts and preparing financial reports as required
  • Manage invoicing processes, ensuring accuracy and timeliness in billing procedures
  • Collaborate with the teams and other departments to track expenses, process reimbursements and maintain financial records
  • Support procurement activities, including purchase order processing and inventory control

 

Your powerful skills 

  • Bachelor's degree, completed commercial apprenticeship (e.g. business clerk) or equivalent experience in business administration, management or a related field
  • Demonstrated experience in administrative support roles
  • You are fluent in both English and German
  • Strong organisational and time management abilities, adept at prioritising tasks and meeting deadlines in a fast-paced environment
  • Exceptional communication skills, both written and verbal, enabling professional interaction with internal and external stakeholders
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
  • Meticulous attention to detail and accuracy, along with the ability to maintain confidentiality and handle sensitive information discreetly
  • Team-oriented mindset with a proactive and service-oriented approach to supporting team members and managers
  • Familiarity with budget management and invoicing processes

Advantageous, but not a must

  • You have already worked in the field of cyber security or in the technology sector
  • Other financial tasks would be advantageous
